Digital Advertising Copy

Submission Guidelines

You may send your camera-ready advertisement to The Recorder as an Adobe Acrobat document (.PDF) by e-mail. If you do not yet have Acrobat, you may deliver your ad to us on a computer disk or other acceptable media in PDF format, or another format that we are able to process. Please see below for more details.

To get the most out of your electronic ads, please follow the following guidelines:

Materials sent to us electronically must arrive at The Recorder by the appropriate deadline as follows:

Closing hour for all advertisements is 5 p.m., two business days in advance of publication. When a holiday intervenes, the closing hour will be 5 p.m. three days previous. Double-page spreads must be placed three business days in advance.
Monday's Edition: Noon the previous Friday
Tuesday's Edition: 5 p.m. the previous Friday

If you are submitting material to us for the first time, we may require a test transmission to make sure that we are able to process your material through our system.   In the event that a test transmission is not possible we would prefer to have the material one working day earlier than the normal deadline in case there are complications.

Three ways to send us your electronic ad copy

1. AP Ad-Send

This is the most widely used and most reliable transmission method for newspaper advertising. It will provide you with the most predictable reproduction of your digital material. We can provide you with contact information if you wish to participate in this industry standard distribution network.

2. Electronic mail

You may send your Adobe Acrobat (.PDF) submission as an attachment to an e-mail message to one of the following addresses, depending on the type of material submitted:

- Legal Ads 

legalads@recorder.com

- Classified Display Ads 

dispinfo@recorder.com

- Classified Line Ads 

clasinfo@recorder.com

- All other display ads   

ads@recorder.com

3. Magnetic media

You may provide us with one of the following types of media (please specify how it was formatted):

You MUST specify the following information in your e-mail message or in a note attached to your disk or tape:

A. WHO have you spoken with at the Recorder? 

  • Your ad rep's name?
  • Who may we contact with questions? 
  • Phone #? 
  • Fax #? 
  • E-mail address?
  • Non-business hours?
  • File formats:

B. What the e-mail attachment or disk contains:

  • Ads and elements of Ads: Name of Advertiser, Size of Ad, Ad Rep, Date it will run, Color(s)?
  • Artwork / Logo: Who created it?  Do you have copyright or permission to use it?
  • Fonts: Unless fonts are embedded into a document we cannot guarantee the output will have identical fonts. We will substitute similar fonts if document fonts are not included or not usable.

C. WHERE you are requesting that we run it?

  • (Help Wanted, Sports, etc.)

 

Acceptable formats

Please do not submit embedded Microsoft Word documents (.doc files) We are unable to access them.

Submitted files must have the correct file extension. We are unable to use them without this information.

We can accept the following file formats on the media listed above, listed in order of preference and reliability. We will be happy to return your media to you.

  •    Adobe Acrobat (.PDF). Click here for our PDF guidelines.
  •    Encapsulated Post Script (.EPS)  Use the DCS (Desktop Color Separation) option
  •    TIFF
  •    JPEG (Save using the Excellent Quality option)
  •    Quark XPress files. Quark files must be saved in Quark 4.1 format. (Extensions: Any unusual extensions used?  You must attach them.)
    *Note - we cannot guaranteed fonts submitted with Quark documents. We will substitute similar fonts if necessary.
  •    Please include all image files.

Compression

If you have Stuffit(MAC) or PKZIP(PC), you may use it to compress the file(s). Please ensure that your file has the correct extension (
